Description

JOB SUMMARY:

Functions as the first point of contact for the clerical staff. Provides education and guidance to the clerical staff. Addresses urgent tasks related to external department phone calls, in basket messages, work ques, and overbook scheduling needs. Ensures clinic protocols and procedures are being followed, and errors are amended. Performs activities related to scheduling, insurance verification, and incoming/outgoing referrals whenever necessary.

ESSENTIAL FUNCTIONS:

1. Responsible for the oversight of registration and check out processes in the clinic.

2. Responsible for training and annual competencies of clerical staff.

3. Responsible for understanding insurance sequences and changes and communicating changes to clerical staff.

4. Functions as the preceptor to new employees.

5. Collects information such as patient demographics, guarantor, and insurance information.

6. Ensures work ques are attended to and corrected daily.

  1. Monitors clinic staff productivity, ensuring team members remain on task and complete necessary job duties.

8. Assists in improving organizational performance, scheduling appointments, and building good working relationships with areas and disciplines with the Medical Center systems.

  1. Reports team member concerns to Managers.

10. Enters patient information into the electronic health record and maintains accurate records.

11. Communicates effectively with other departments to coordinate scheduling, referrals and other patient needs.

12. Communicates effectively with healthcare providers to ensure patient needs are met.

13. Performs general administrative tasks related to scheduling, insurance eligibility and referrals.

14. Performs other related duties as assigned or requested.

  4. Adheres to medical center policies addressing infection control, safety, and personnel guidelines.

ADDITIONAL RESPONSIBILITIES:

Provides training to new hired clerical staff members specific to their specialties. Works as a Physicians Practice Lead and maintains the process management of criteria specific to clinic scheduling. Identifies opportunities for process improvements.

JOB REQUIREMENTS:

Experience in a healthcare position preferred. Knowledge of medical terminology and insurance plans is beneficial. Strong administrative and organizational skills. Excellent communication and interpersonal skills. Proficiency in data entry systems such as an EHR. Ability to multitask and maintain strong attention to detail. Compassionate and patient.

EDUCATION AND LICENSURE:

High school diploma or equivalency required. Two years patient registration experience preferred. Two years patient scheduling experience preferred.

WORKING CONDITIONS:

Works in a well-lighted business office environment the majority of the time.

There is a potential for being at risk of exposure to hazardous chemicals when working. Information regarding hazards and protective measures along with training on handling and storage of hazardous materials will be provided prior to initial assignment to work with hazardous chemicals, whenever the hazard changes, and on an annual basis.
