Department Overview
The Administration Department is responsible for providing administrative and logistical support to the entire organization. The role of the department is to keep the office organized and ensure that everything runs smoothly. In addition, the Administration Team makes sure that policies and procedures are being followed. The department’s primary responsibilities include scheduling, expenses, travel and assisting with other duties allowing those they support more time to carry out their responsibilities.
Position Responsibilities
Golub Capital is looking for an experienced Executive Assistant to support senior leaders in our Marketing and other Shared Services Departments. The primary focus of the position is to assist our professionals in managing calendar, travel, publications and projects. The ideal candidate will have a marketing assistant background in a financial or B2B environment and can multi-task and work well under pressure. The position has high visibility and high impact and is expected to be involved all aspects of their senior leaders’ responsibilities. The candidate should be an intelligent, confident, proactive and discreet individual.
Regular tasks include, but are not limited to, the following:
− Supporting professionals at executive and senior levels
− Coordinating travel planning, domestic and international as needed
− Tracking, organizing and coordinating expense reporting (knowledge of Concur, a plus)
− Managing calendars and scheduling; working heavily with other EAs to coordinate internal meetings
− Helping update and provide timely follow-up to the Marketing Department calendar and associated meeting needs
− Managing multiple projects and follow through on issues in a timely manner
− Processing Marketing Department invoices
− Workday knowledge a plus
− Managing the marketing gift inventory and processing all incoming and outgoing shipments
− Performing advertisement quality control to ensure all obligations are being met
− Organizing the Marketing Team file server
− Actively participating in Marketing Team meetings
− Providing administrative back up support to the Executive Assistant Team including support to the Executive level offices as needed
− Performing marketing research and other duties as assigned
Candidate Requirements
Qualifications & Experience:
− Bachelor’s degree required
− Three to five years administrative experience in a corporate setting
− Ability to manage changing demands in a fast-paced environment with strong multi-tasking skills
− Friendly and pleasant demeanor; client-service oriented
− Excellent time management skills, with the ability to manage priorities and meet deadlines
− Capable of a high degree of diplomacy and discretion when handling confidential and sensitive information
− Strong work ethic, flexible regarding hours as some overtime may be required
− A “no task is too small” attitude
− Excellent verbal and written communication skills
− Detail-oriented, meticulous and highly accurate
− Strong organizational skills
− Proactive, take-charge approach to problem solving
− Enthusiastic about working in office and creating a Gold Standard hybrid work culture

Compensation and Benefits
For New York Only: It is expected that the base salary range for this position will be $100,000 - $120,000. Actual salaries may vary based on factors such as skills, experiences and qualifications for the role. The total compensation package for this position may also include other elements and discretionary awards in addition to a full range of medical, financial and / or other benefits (including 401(k) eligibility and various paid time off benefits such as vacation, sick time and parental leave) dependent on the position offered. Details of participation in these benefit plans will be provided if an employee receives an offer of employment. If hired, the employee will be in an ‘at-will position’ and the Firm reserves the right to modify base salary (as well as any other discretionary payment or compensation program) at any time including for reasons related to individual performance, Firm or individual department / team performance and market factors.
