The Executive Assistant will be an articulate and motivated individual who provides direct support to the Firm’s Management Team in Darien, CT and Office Manager on a full-time on-site basis. The position requires an ability to meet critical deadlines while maintaining a professional demeanor and juggling competing priorities. The Executive Assistant must be able to anticipate the needs of the management team and proactively take action to ensure they have the support they need to be successful in their roles.
Responsibilities:
- At the direction of the Office Manager, support logistics and administrative activities for meetings, events, meals and coordination.
- With guidance from the Management Team, manage an active calendar of meetings, travel and events.
- Handle various types of calendar/meeting coordination, including tracking and monitoring of recurring events, long-range calendar mapping, tracking of current meeting statuses/attendance and material preparation.
- Arrange travel as needed.
- Provide general administrative support to the Management Team, including managing expenses and preparing expense reports.
- Create and maintain accurate and up-to-date files and records for the Management Team.
- Manage various projects as assigned, including organizing and tracking project timelines, coordinating with other departments, and preparing project reports.
- Handle confidential and sensitive information with discretion and professionalism.
- Maintain a strong office presence for requests from various colleagues/team members.
- Coordinate and liaise with other departments, including IT, HR, and Accounting, to ensure smooth operations across the firm.
- Other duties as assigned.
Qualifications:
- Bachelor's degree or equivalent experience.
- At least 2 years of experience as an executive assistant, preferably in a private equity or financial services environment.
- Exceptional communication and organizational skills; strong planning, problem solving, project management and time management skills.
- Assertive, self-confident, and comfortable interacting and building relationships with all levels of personnel.
- Detail-oriented and able to manage multiple tasks simultaneously.
- Ability to handle confidential information with discretion and professionalism.
- Highly motivated, mission driven and community oriented.
- Demonstrate leadership, teamwork, credibility and trust.
- Be resourceful, decisive and proactive.
- Ability to use strong judgement independently in a variety of situations.
- Ability to work independently and prioritize tasks effectively.
- Familiarity with Concur.
- Familiarity with DealCloud or CRM system.
