Academic Systems & Operations Analyst
Job Summary:
Under the general supervision and direction of the Senior Associate Dean, the Academic Systems and Operations Analyst provides the leadership and technical skills necessary to ensure that the School has proper systems employed and integrated to support academic and operational efficiency, maintain compliance with all applicable laws, policies, regulations, and standards pertaining to the academic enterprise, and support strategic planning. This role requires high-level analytical skills, data systems knowledge, project management experience, exceptional problem-solving abilities, and an aptitude for streamlining and improving business and data processes to meet evolving institutional needs. The incumbent also acts as a resource for training school and campus stakeholders and provides cross-functional support to departments during staff transitions or special projects.
Full Job Description:
Systems Analysis (60%)
1. Demonstrates advanced expertise in data management, data analytics, and coordination/integration of data management systems (e.g. Salesforce, Banner, Slate, Tableau, CORE, CastleBranch, Typhon).
a. Supports the identification and tracking of metrics important to SONHP operations and academics.
b. Develops and maintains databases to track data essential in faculty affairs, staff affairs, accreditation and regulation, strategic planning, clinical placement, projects and initiatives.
c. Uses data to forecast and ensure efficient and accurate allocation of resources to meet requirements and demands.
d. Investigates and analyzes efficiency, data collection and compliance issues, identifies trends and actionable solutions, and develops business cases to prioritize effectively. When resolving issues, balances practical considerations with industry best practices to determine a solution that fits the situation.
e. Has experience with industry best practices for working with extremely sensitive data information.
2. Uses survey administration skills to develop survey questions, examine survey validity and reliability, oversee survey administration for a wide variety of purposes, interpret responses to survey questions, and produce reports or topic briefs that include recommendations for strategic improvements.
3. Demonstrates project management knowledge and skills to re-engineer and improve School processes efficiency and effectiveness in the spirit of Continuous Quality Improvement
Operations (40%)
1. Responsible for SONHP’s ongoing development, enhancement, use, and training of users in enterprise systems including, but not limited to, Banner, Workday, Salesforce, Typhon, CORE and Slate.
2. Directly supports the Business Specialist and Director of Budget Planning and Operations for staff onboarding and Director of Academic Planning and Operation for faculty onboarding (e.g., provides necessary data entry and updates in WorkDay, assists in gathering documents used for hiring decisions, on-boarding, faculty ID card, responds to and/or redirects any initial on-boarding questions regarding contracts, and supports the administrative onboarding for branch locations, but not program/curricular orientation, technology, textbooks, or other local resources).
3. Serves as project manager for scholarship/NFLP applications, deadlines, decision-making, and distribution of awards with Business Specialist, Director of Budget Planning and Operations, Operations Assistant, Associate Deans, and Graduate Admissions. This includes oversight of the auditing of awards, reconciliation against account balances, and processing of scholarship applications for new and continuing students and the disbursement of awards
4. Serves as project manager for SONHP Leadership (Deans and Administrative Directors) special projects.
5. Supports Director of Academic Planning and Operations, Director of Budget Planning and Operations, and the Senior Associate Dean in development and maintenance of SONHP’s Policies and Procedures.
6. Maintains general office files, confidential personnel files, and online and archived files; maintains records in accordance with USF records retention schedule; maintains confidentiality of sensitive information and documents.
