ORGANIZATIONAL BACKGROUND
The Mental Health Commission of Canada (MHCC) is a charitable organization created to focus national attention on mental health issues and to work to improve the health and social outcomes of people living with mental illness.
The Commission is seen as a leader nationally and internationally in several areas. Building upon the work done to date, the core mandate, and the unique position of the Commission, and guided by Changing Directions Changing Lives: The Mental Health Strategy for Canada, the Commission will focus in the areas of, substance use, suicide prevention, population-based initiatives, and engagement. This prioritization will enable the Commission to be successful in meeting its mandate, staying focused, and having a measurable impact for those living with mental illness and their families and caregivers.

POSITION OVERVIEW
The Mental Health Commission of Canada (MHCC) is seeking a bilingual Project Coordinator to support the Marketing & Communications team, with a focus on translation services. Reporting to the Manager, Content, the Coordinator manages translation requests, liaises with internal administration and Finance teams, as well as external language providers, and contributes to content translation. The role also supports the production of The Catalyst, MHCC’s digital magazine, and assists with communications and marketing initiatives across the organization.
DUTIES & RESPONSIBILITIES
- Manages the translation desk (e.g. coordinate the submission of English texts, organize additional translation support, establishes systems for tracking of assignments and invoices).
- Maintains terminology database and stays current with evolving language to assure terms used are non-stigmatizing.
- Liaise with other administrative assistants and other staff to ensure optimal project coordination.
- Assists in proofreading and translation of English and French texts.
- Ensures the establishment of efficient and effective procedures relating to the translation and publication duties as required.
- Conduct data entry and maintenance of various spreadsheets relevant to the operation of the department (e.g. project status reports, impact reports).
- Act as contact with suppliers to the department; outreach to suppliers.
- Take minutes at key team meetings and summarize discussions.
- Occasionally support other Administrative Assistants for vacation leave etc.
- Assist in writing memos, reports, and letters.
- Undertake other projects and assignments as required.
SKILLS & EXPERIENCE
- Advanced time management, planning and organizational skills.
- Advanced communication skills (English and French), both verbal and written.
- Strong interpersonal skills to interact with internal staff and external clients.
- Excellent knowledge of office practices, procedures and standards.
- Advanced proficiency in MS Word, MS Excel, PowerPoint, Adobe Acrobat, Salesforce, and Outlook.
- Experience with Salesforce Contact Relationship Management (database) or similar program (intermediate level), Trados (translation software, or similar).
- Proactively determines priorities and organizes workflow.
- Flexible to ensure deliverables are met in an environment of changing/conflicting priorities and deadlines.
- Ability to multi-task within a fast-paced environment.
- Works independently with minimal supervision and within a team.
- Adaptable, and has a keen interest in keeping current in field of work.
- Creative and solutions-driven.
QUALIFICATIONS
- Diploma or certificate in office administration, or equivalent training and experience.
- Minimum 3-5 years of experience in a fast-paced environment.
- Excellent bilingual verbal and written skills (English and French) is required.
- Experience with Trados or other translation software, Microsoft Office suite, Contact Relationship Management software, such as Constant Contacts or Salesforce; Monday.com is an asset.
- Interest in mental health issues is an asset.
- Knowledge of the Official Languages Act is an asset.

PHYSICIAL\COGNITIVE DEMANDS:
- Moderate periods of time spent in meeting type settings.
