Position Title: Development Operations Manager

Department: Resource Development| Reports to: Development Operations Director

Classification: Exempt | Experience: 3+ years experience with fundraising software; 2+ years supervisory experience

Position Overview

The Development Operations Manager leads the systems, processes, and data management that power the Central Texas Food Bank's (CTFB) fundraising efforts. This role drives donor engagement strategies and revenue generation through expert management of fundraising systems and operational efficiency. Reporting to the Development Operations Director, this position serves as the fundraising database expert, collaborates with other Resource Development teams and the Finance team on gift processing and reconciliation, and oversees the day-to-day operations that support donor acquisition, retention and growth.

This role directly supervises a team of Development Operations Coordinators to ensure excellent service to donors while optimizing CTFB's data management systems to enhance fundraising effectiveness and inform strategic decision-making. The position requires close collaboration with multiple departments to support the organization's mission of fighting hunger in Central Texas.

Relationships

The Development Operations Manager supervises a team of Development Operations Coordinators and occasionally development volunteers. This role also interacts daily with members of the Finance, Grants, Community Engagement, Community Investment and Food Industry teams. The Development Operations Manager also maintains cordial working relationships with external vendors, including but not limited to product software consultants and support, direct mail vendors, and product support managers.

Your Qualifications

  • 3+ years of demonstrated experience with fundraising CRM or database software (e.g., Raiser's Edge, Salesforce) with emphasis on data-driven fundraising approaches and donor management
  • Understanding of fundraising best practices, donor lifecycles, and multi-channel fundraising strategies
  • 2+ years of demonstrated experience supervising regular full-time paid staff, including effective training, supervision, and delegation
  • Strong analytical skills with the ability to translate data into actionable fundraising insights and recommendations
  • Proficiency in Microsoft Office products (Excel, Word, Outlook) and project management tools
  • Ability to manage multiple deadlines for concurrent projects and adapt quickly when priorities change
  • Proven track record of working effectively with cross-functional teams and external vendors
  • Discretion in handling confidential donor information

Your Responsibilities

Fundraising Strategy & Data Management

  • Serve as the CRM product expert for Raiser's Edge NXT and Luminate Online, creating resources and training staff to utilize data for effective fundraising
  • Conduct strategic analysis of donor data to drive fundraising insights and inform strategic efforts of front-line fundraising staff
  • Design and execute tailored donor segmentation for targeted fundraising campaigns across digital and physical channels
  • Ensure data integrity through accurate gift and constituent coding, duplicate management, and timely gift entry through varied funding streams
  • Manage the Development Operations team ticketing system to ensure timely response to requests
  • Work with IT and external database vendors to implement updates and troubleshoot software issues

Financial Oversight & Reporting

  • Lead the weekly reconciliation process between Resource Development and Finance departments
  • Project manage the annual budget projection process for the Resource Development department
  • Maintain budget projection and actual totals, providing reports on a weekly, monthly, and annual basis
  • Design and produce department-wide fundraising performance reports, KPIs, campaign metrics, and required network reports for Feeding America
  • Create comparative analyses of giving results to identify trends and opportunities

Team Leadership & Development

  • Provide management, mentorship and training to Development Operations team members responsible for gift processing, data entry, reporting, and donor acknowledgements
  • Develop a high-performance team culture focused on leadership, continuous learning, collaboration, and goal achievement
  • Set clear performance goals for team members that align with CTFB's fundraising strategy
  • Coach team members and provide supportive feedback to enhance performance and professional development
  • Support CTFB's values, goals and objectives by leading by example

Process & Vendor Management

  • Serve as the primary relationship manager for fundraising database vendors and other external partners
  • Maintain Development Operations process and procedures manual with up-to-date information
  • Ensure appropriate communication to staff regarding procedural changes that impact fundraising activities

Working Conditions

  • Hours of Operation: This is a full-time salaried/exempt position, with core business hours 8am-5pm, M-F. This is a full-time position with a hybrid remote and in-office schedule.
  • Environment: Most work is completed at a computer. A hybrid working environment (in the CTFB office and remote work) is available. If working remotely, a reliable internet connection is required.
  • Travel: CTFB serves 21 counties in central Texas. The Development Operations Manager may occasionally be required to attend meetings, special events and training out of town, using a personal vehicle or CTFB fleet.
  • OSHA Standards - Lifting requirements are 50 pounds and when lifting loads heavier than 50 pounds, use two or more people to lift the load
