The Maintenance Project Coordinator works on a collaborative team with other maintenance professionals.

HOW YOU’LL MAKE A DIFFERENCE IN THIS ROLE (ESSENTIAL FUNCTIONS)

The Maintenance Project Coordinator serves as project coordinator for all Facilities departments at Agrace; organizing, maintaining departmental files and records, scheduling contractors, and purchasing of maintenance parts. The role also administers the Computerized Maintenance Management System (CMMS) used to coordinate the workflow for facility operations tasks and supports the facilities operations with basic repairs and emergency response. The position participates in on – call rotation for afterhours response. On call responsibility is every 3 -5 weeks.

Project coordination

  • Coordinate project work including procurement, bidding and contracting of assigned projects.
  • Coordinate facilities renovation and construction project including initiation, design and design development.
  • Coordinate delivery phase of assigned facilities related projects.
  • Coordinate close out of delivery projects.

Computerized Maintenance Management System

  • Issue and assign work orders to department staff based on current workloads, availability, and expertise.
  • Maintain and update CMMS listings of all facility assets, departmental staff, and vendors.
  • Schedule preventative maintenance tasks and work orders with vendors.
  • Develop and implement all preventative maintenance tasks within the CMMS according to manufacturer’s recommendations and compliance requirements.
  • Ensure documentation is completed and entered in the CMMS.

Administrative Tasks and Special Projects

  • Provide support for maintenance, supply team, housekeeping, horticulture and food service department special projects.
  • Maintain department files and records including mechanical equipment documentation to ensure ongoing compliance requirements for Life Safety.
  • Maintain maintenance calendar and event calendars as assigned.
  • Maintain manual key logs systems and assist with maintaining card access and making new fobs for employees.

Purchasing

  • Order maintenance parts and supplies as needed.
  • Order housekeeping supplies as needed.
  • Process invoices, manage credit card receipts statements, and mileage/reimbursement receipts and requests for the maintenance department.

Maintenance and after-hours support

  • Perform basic maintenance work.
  • Perform basic housekeeping and custodial work.
  • Perform basic food service work.
  • Perform basic horticulture work.

YOU BRING (EXPERIENCE & QUALIFICATIONS)

  • High school diploma or GED or equivalent combination of education and work experience
  • Associate degree in administrative support, database management, construction or project management or related field preferred.
  • Three or more years of administrative experience.
  • Three or more years of project coordination or management experience including design, project delivery and close out.
  • Valid driver’s license, auto insurance, and access to a reliable vehicle
  • Intermediate to advanced Microsoft Office Suite skills.
  • Ability to work effectively and cooperatively with others.
  • Experience using industry specific software – CAD, PlanGrid, ProCore, Autodesk.
  • Ability to communicate effectively verbally and in writing.
  • Ability to be flexible in time and task to meet organizational needs.
  • Ability to maintain confidentiality about patients, families, caregivers, staff, donors, and organizational intellectual property.
  • Ability to use proper body mechanics and standard precautions.
