Job Summary

 

To support day-to-day payroll operations in coordination with Payroll Vendor, while ensuring the accuracy and timeliness of payroll data.  Ensure that processes are performed according to set procedures and in compliance with in-country Corporate Governance.  To administer payroll related GL transactions covered by payroll.  Respond to inquiries and provide assistance to customers on payroll related matters.  Facilitates in special projects to support management.

 

Job Description

  • Responsible for monthly payroll processing, reconcilement, payroll upload, General Ledger (GL) financial entries
  • Be up-to-date on key HR and GL applications required to assist in processing payroll GL
  • Reconcile account balances for the purpose of maintaining accurate balances and complying with related policies, practices and/or regulations
  • Coordinate reconciliation of monthly staff pay, bonus and tax payments
  • Accountable for ensuring HRSS is compliant with all local regulatory and legal requirements related to the accounting transactions posted
  • Ensure that both internal and external audit requirements are met
  • Accountable for creating and maintaining standard operating manuals for all Payroll GL processes
  • Responsible for the handling of payroll related queries and ad-hoc/quarterly/year-end statistical reports for Financial Control, Internal and External Auditors
  • Accountable for processing, checking and signing off on end to end payroll GL and other related transactions for all legal vehicles administered by HRSS, covering all business segments and all types of employees
  • Prepare and oversee the preparation of a variety of payroll related documents for the purpose of documenting activities and issues; meeting compliance requirements and providing audit references
  • Responsible for working in partnership with Citibank’s vendor (as applicable) on any payroll GL related errors whilst processing payroll
  • To be a back-up to Payroll Manager
  • Investigate discrepancies of payroll information for the purpose of ensuring accuracy and adherence to procedures prior to processing
  • Maintain a wide variety of payroll information with 100% accuracy, ensure information is filed and recorded in written and electronic formats for the purpose of providing an up-to-date reference and audit trail for compliance
  • Facilitate meetings for the purpose of identifying appropriate actions, developing recommendations and supporting payroll functions  
  • Preparation of ad hoc reports as required
  • Building strong relationships and partnering with Citibank’s payroll vendor, internal stakeholders and technology
  • Participate in daily huddle to implement agreed actions for the purpose of improving customer centricity and operational excellence
  • Participate in process improvement projects and implement global initiatives on a local level
  • May be required to perform other related work that may be assigned by direct Line Manager or management to meet the needs of the business

Qualifications:

  • Candidate must possess at least a Bachelor's Degree with more than 5 years related work experience in similar field, preferably in an HR Shared Service Center
  • Possess GL and/or proofing related work experience 
  • Good accounting background
  • Payroll Management – Experience in payroll function
  • Knowledge in Accounting/Finance principles is required
  • Working knowledge in HR systems and shared service center tools
  • Experience in a supervisory role is an added advantage
  • Excellent English written & verbal communication skills
  • Strong interpersonal skills
  • Proficient in the use of workstation applications
  • Able to handle high volume of work & adapt to changes
  • Effective time management, documentation and organizational skills
  • Good problem-solving skills; is able to grasp complex issues and provide solution
