Overview

This positions works closely with the Art & Objects Event lead on all aspects of the event planning and execution process.

Responsibilities

  • Fully support Art & Objects Event lead with preparing and coordinating all aspects of on- and off-site events taking place related to the Art and Objects vertical including Old Master Paintings, Decorative Arts, Photographs, Prints, 20th Century Design, Books & Manuscripts, Americana and African & Oceanic Depts
  • Work closely with the marketing team to coordinate and manage all aspects of event plans including goal setting, targeting, budgets, production schedules for invitations, direct mail, emails & webpage production, etc
  • Brainstorm new initiatives & experiences to promote the vertical to new and existing clients
  • Arrange and coordinate operational and logistic resources for events, such as security, operations and facilities departments to ensure that all facets of events are organized and in place
  • Create event briefs centralizing all information regarding event needs of support depts.
  • Create and update all JIRAs for job requests
  • Effectively liaise with internal departments and executives, external vendors, and clients with respect to event management, maintaining strong relationships throughout
  • Manage Client System event sub campaigns including mailing lists, guest attendance and media uploads

Qualifications

  • Strong administrative and organizational skills, attention to details, and thorough follow-up
  • Ability to work independently, effectively handle and prioritize multiple tasks simultaneously, while maintaining a professional manner and be able to stay calm under pressure
  • Must be able to think creatively, be resourceful and possess effective problem solving skills
  • Excellent oral and written communications skills, interpersonal skills and sense of style
  • Proven ability to manage relationships with internal and external resources
  • One to two years’ experience working in events, preferably for art/cultural organizations
  • Flexibility to work weekends and evenings as required
  • Highest standard of confidentiality and discretion
  • Must be proficient in Excel
  • Client System knowledge is a plus
