Position Overview:
The Associate, Administration position will assist Manager, Administration in district level in carrying out all administrative related initiatives. The position will provide general help as and when required by members of Room to Read Bangladesh. This position will report to the Manager, Administration. Primary responsibilities include assisting in maintaining all aspects of the organization’s procurement and administrative initiatives. The position will have regular interactions with all staff and will be based in Dhaka, the country Office.
Duties & Responsibilities:
Procurement
- Analyze PR and issues RFQ/RFP getting proposals/quotations for project.
- Solicit quotations and evaluate quotations for various goods, equipment and services.
- Prepare Comparative statement (CS) with financial and technical information and submit to the Manager administration
- Maintain detailed records of procurement activities in online procurement trackers.
- Assisting Manager Admin during vendor enlistment and legal document review.
- Communicate with program staff to collect content for the procurement and archive them
- Coordinate with vendors to ensure timely distribution of materials and services
- Save a digital/scan version of all procurement related document for audit trail following in a sequential manner.
- Submit payment request following the payment checklist and ensure all compliance
Petty cash management
- Handle Country office, Dhaka petty cash and settlements.
- Allow only recommended expenses from petty cash and ensure no prohibited expenditure.
- Ensure documents are maintained in an auditable manner
Other responsibilities
- Provide logistic support for seminars, workshops, events as and when needed
- Organize transportation and hotel arrangements for staff and visitors as and when needed
- Assist in various administrative tasks and projects as needed.
- Perform any other duties delegated by Supervisor.
Qualifications:
Required:
- Minimum bachelor’s degree in commerce/business administration (Masters preferred)
- Minimum 3 years of working experience in administrative position
- Experience of working with NGO/iNGO is preferred
- Good interpersonal skills and a team player
- Relevant computer-operating skills and relevant software
- Strong verbal and written communication skills in English
Preferred:
- Prior success working closely and building relationships with diverse groups of people
- Effectiveness in working or volunteering in a non-profit organization that is focused on maintaining high quality work and low overhead
- Prior experience in a fast-paced, growth-oriented global or regional organization
- Proven track record of achieving results
- Ability to juggle multiple priorities simultaneously and take initiative
- Prior experience living and/or working in rural areas
- Prior experience working with schools, teachers, administrators and government officials
- Experience in successful implementation of a wide range of tasks as well as developing and implementing improvements in a prior position
