Why do we need you ?

The Executive Assistant will play a pivotal role in supporting executive leadership within a global organization overseeing North American operations while ensuring the smooth operation of our Dallas headquarters. This dual-function position requires a professional who is highly organized, detail-oriented, and adept at multitasking. The role involves providing high-level administrative support to executives while managing office operations, fostering a productive and welcoming work environment.

Key Responsibilities:

Executive Administrative Support (50%):

  • Provide comprehensive administrative support to senior executives overseeing North American operations, including managing schedules, coordinating meetings across multiple time zones, and handling travel arrangements.
  • Prepare, edit, and distribute professional correspondence, reports, and presentations tailored for global and regional stakeholders.
  • Act as a liaison between executives, internal teams, and external partners, maintaining confidentiality and professionalism.
  • Prioritize and manage multiple projects simultaneously, ensuring timely completion of tasks and alignment with organizational objectives.
  • Monitor and track key deliverables and deadlines for executive leadership, ensuring follow-ups and progress updates.
  • Assist in preparing materials for board meetings, global leadership conferences, and strategic planning sessions.
  • Facilitate effective communication between executives and staff, ensuring alignment and clarity on organizational priorities.
  • Coordinate cross-departmental initiatives and provide logistical support for company-wide events.
  • Support communication with external stakeholders, including vendors, partners, and customers, ensuring a positive representation of the organization.

Office Management (30%):

  • Oversee daily operations of the Dallas HQ, including maintaining office supplies, coordinating with vendors, and ensuring facility upkeep.
  • Develop and implement office policies and procedures to optimize efficiency and support a hybrid working environment.
  • Serve as the primary point of contact for all office-related matters, resolving issues promptly.
  • Plan and execute office events, team-building activities, and leadership offsites.
  • Manage office budgets, track expenses, and coordinate with finance teams to ensure fiscal responsibility.

  • Handle sensitive information with utmost confidentiality and discretion.
  • Ensure that all interactions reflect the company’s values and professional standards.

Is this job for you ?

Qualifications:

  • High School Diploma or accredited GED
  • 5+ years of proven experience in executive-level administrative support, preferably within a global organization.
  • Exceptional organizational and time-management skills, with the ability to manage multiple priorities effectively and meet tight deadlines.
  • Strong written and verbal communication abilities, with demonstrated experience working across cultures and regions.
  • Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and virtual collaboration tools (e.g., Zoom, Microsoft Teams).
  • High degree of professionalism and interpersonal skills, with a proven ability to build relationships at all organizational levels.

Preferred Qualifications:

  • Bachelor’s degree in Business Administration or related field.
  • 7+ years of proven experience in executive-level administrative support, preferably within a global organization.
  • Familiarity with the Dallas business community and local vendor network.
  • Understanding of global business practices and cultural sensitivities.
  • Demonstrated ability to manage budgets of $50,000 or more annually and oversee office operations for teams of 50+ employees.

Working Conditions:

  • This is a full-time, on-site position based in Dallas, TX
  • Occasional overtime or flexibility may be required to meet the demands of the role.
