RingCentral (RC) is looking for a Travel Program Support Specialist (TPSS) to join Acquire, Manila, PH as a full-time employee. TPSS will be reporting directly to RingCentral’s AVP Global Travel. This is a perfect opportunity for someone interested in building a long-term career path in the Corporate Travel field. 

To succeed in this role, you must have experience in: 

  • Bachelor’s degree in business, Hospitality, Travel, Finance, Accounting, or in similar field. 
  • 7 – 10+ years of experience in any of the following sectors: travel & hospitality on the supplier side (hotel, airline), procurement, corporate travel, vendor management, data analytics reporting 
  • Exceptional organization skills, high attention to detail and focus 
  • Technology savvy with extensive knowledge of Excel, Word, and PowerPoint 
  • Excellent written, oral and interpersonal communication skills in English 
  • Ability to execute sound judgement, logic, draw correct conclusions 
  • Flexibility, adaptability to change and ability to handle multiple projects at the same time 
  • High level of problem solving and analytical abilities 
  • Inquisitive mindset, positive attitude with natural drive for taking initiative and getting things done 
  • Able and eager to learn and develop career in corporate travel mgt and travel procurement 

Desired Qualifications: 

  • Knowledge of Concur Travel online booking tool 
  • Understanding of international travel regulations, global travel protocols, customs, international passport and visa requirements, currencies exchange, travel payment practices and corporate expense & reimbursement 
  • Experience in T&E reporting, processing, excel formulas, pivot tables, and data analysis 

Actual Responsibilities may include but not limited to the following: 

  • Provide on-going support to RC’s AVP Global Travel in building and evolving the company’s Global travel program, policy, and processes. Contribute to program’s key objectives including cost-savings, traveler experience, compliance, productivity; RC’s management visibility, policy control and duty of care (travelers’ security and safety) 
  • Support implementation and maintenance of new travel policies, rules, procedures and tools to increase travel program’s efficiency. 
  • Test, update, and maintain Concur Travel online booking tool’s rules and settings to ensure proper functioning. 
  • Support AVP Global Travel in conducting analysis and extracting needed info from large reports/data sets. 
  • Communicate with internal stakeholders in procurement, finance, accounting, HR, legal, Execuitve Assistants, IT, etc., as well as with RC’s international office’s travel contacts to ensure interdepartmental and organizational alignment. 
  • Serve as key point of contact for travelers (of assigned level) for business travel-related inquiries, policy questions, issues, and concerns. 
  • Send “Welcome” emails with info to newly hire Executive Assistants and VPs or above travelers using template. 
  • Manage new hire onboarding travel training enrollment, analyze travel test results, and send out reminder emails to new hires that missed taking the travel training. 
  • Assemble and conduct traveler surveys on various topics: assemble, analyze, and present results. 
  • Analyze travelers’ and RC leaders’ feedback for travel program’s optimization and enhancement opportunities. 
  • Monitor corporate travel activity, ensuring that business travel is conducted according to RingCentral’s Corporate Travel Management requirements, policy, and vision. 
  • Support communication with travel suppliers; ensure that RingCentral’s rates/discounts are properly uploaded in GDS; test on regular basis; lead to complete resolution if inconsistencies are found. Identify areas where RingCentral has exceeded contractual volume/spend commitments for potential supplier contract re-negotiations. 
  • Reply to RC’s Accounting team’s requests to review and approve or reject RC travel policy violations during the expense reimbursement stage with travelers. 
  • Update and maintain RC’s VIP travelers and Executive Assistants lists on monthly basis, share with RC’s and TMC’s key stakeholders. 
  • Assist in maintaining activity in RC’s Traveler internal group: make relevant posts, i.e. on travel news, tips, alerts etc., keep group’s communication dynamic and relevant. 
  • Work closely and collaborate with other Corporate Travel Mgt team members to jointly complete some projects/tasks. 
  • Conduct on-going travel program administrative tasks including but not limited to the following: 
  • Resolve corporate travel related problems or issues, perform root cause analysis, collaborate with TMC Global Account Manager, Operations team and suppliers to ensure timely resolutions; update travelers and communicate outcomes 
  • Assist in creating template communication emails with various travel groups; send customized email notifications 
  • Assemble PP instruction deck and guides, for various traveler-related workflows 
  • Conduct research and benchmarking checks on average hotel rates, airlines discounts, car rentals rates in specific destinations, etc. 
  • Retrieve needed reports from travel suppliers’ internal portals such as Airbnb for Work, Uber for Business, Lyft Business 
  • Perform test searches in Concur Travel to identify opportunities for booking workflow optimization 
  • Help to promote utilization of TMC’s mobile App among RC travelers 
  • Assistor/and run “most compliant traveler” reward programs and mailings for RC travelers 
  • Complete assigned tasks, deliverables, and projects correctly, accurately within the set timeframe 
  • Meet and exceed set quarterly goals, KPIs, objectives and deadlines
