What is the AR & Billing Administrator responsible for?
The individual is responsible for maintaining the fee calculation process within the accounting system. This includes maintaining existing fee calculations, interpreting, understanding, creating and posting new fee calculations, as well as reversing and closing down fees. In addition the individual must have the knowledge to manually calculate fees for a select group of accounts. The individual will participate in the onboarding process with other key departments, designed to ensure smooth set up of new accounts.  Other responsibilities may include preparation of fee reports as well as assist in fee review and control processes. As a member of the fee group, the successful candidate will also have opportunities to participate in assignments and special projects within the group as required.
What are the ongoing responsibilities of an AR & Billing Administrator?
Daily Responsibilities
  • Opening & closing fee terms in the Trust Accounting System
  • Manually calculating initial & final fees
  • Maintaining fee terms within Excel/Fee Systems
  • Manual calculation of fees outside of Trust Accounting System
  • Creating invoices within PeopleSoft system
  • Support Administrators/Investment Officers on fee inquiries
  • Check and Payment Application
  • Fund Reimbursement Payment application
New Account Set Up & Implementation
  • Representing the department on project teams established for implementing new accounts
  • Understanding the purpose and nature of the new account, and the responsibilities of each party
  • Reviewing and commenting on Investment Management Agreements and other governing documentation
  • Documenting and maintaining permanent file information for the department
  • Agreeing on and documenting procedure for fee calculation and billings with client

Other Responsibilities

  • Assist in creation of fee reports and fee review/controls processes
  • Assist in various projects as needed.

What ideal qualifications, skills & experience would help someone to be successful?
  1. This position requires an Associate or higher Accounting or Business degree.
  2. Two years of business experience is mandatory.
  3. Experience with automated financial systems, would be viewed favorably.
  4. Experience of working with US/ European/Canadian clients would be an added advantage
  • Proficiency in Excel, Word, PowerPoint & Outlook is mandatory.
  • Logical thinking and ability to understand and solve basic mathematical problems.
  •  Ability to quickly pick up on internal systems.
  • Good Organizational skills excellent verbal and written communications skills.


  • Ability to solve routine department problems or customer issues with little or no direction
