Job Description 

Summary/objective

The Operations Coordinator supports the Intelligence and Automation team in various project and operational processes and activities. 

Essential functions

  • Coordinates with Operations Managers and Project Managers to support accurate visibility of operations and project activities including project pipeline, client acceptance and onboarding, current project status, client invoicing, vendor management, resource management, and other activities as assigned.
  • Supports project managers with the documentation of project plans, timelines, schedules, and other project documentation in NetSuite and other systems of record.
  • Processes client invoices, vendor invoices, and other financial transactions
  • Coordinates and communicates project activities.
  • Coordinates with project leadership team to identify and address potential issues and bottlenecks.
  • Facilitates the allocation of resources, equipment and materials in collaboration with project managers.
  • Maintains accurate and up to date project documentation in NetSuite, M-Files, and other systems of record.
  • Generates regular reports on project progress, milestones achieved, and potential risks.
  • Provides additional administrative support as required such as calendar coordination and scheduling team events.
  • Enables clear and effective communication withing the project team and across the organization.
  • Maintains processes, and makes recommendations for improvement where necessary
  • Ensures a high level of customer satisfaction (CS) and positive customer experience (CX).

Work environment

  • Work to be performed at Ridgeland, MS headquarters

Physical demands

  • Prolonged periods sitting at a desk and working on a computer.
  • Must be able to lift up to 15 pounds at times.

Travel required

  • May require minimal travel, less than 10%

Required education and experience

  • High School Diploma, with at least 2 years of experience in a similar role
  • Excellent written and oral communication and organizational skills
  • Proven experience in project coordination and operations support
  • Quick critical thinking and problem-solving abilities
  • Excellent customer service and client relations skills
  • Ability to maintain high level of integrity and discretion
  • Proven ability to meet tight deadlines with high attention to detail
  • Demonstrated ability to work with minimal supervision

Preferred education and experience

  • Associate’s degree or equivalent in Information Technology or related field
  • Working knowledge of ERP tool (such as NetSuite)
  • Document management experience
  • Proficiency using video conferencing software, such as Zoom
