Under general supervision, coordinates and performs a variety of administrative, and/or operational support duties for a specified physician practice/office or clinical care center. Cross-trained in both front and back office job functions and fills-in for any position as directed by Office Manager. Creates and maintains spreadsheets; maintains databases and produces reports. Edits and proofreads documents to ensure accuracy. Duties require a range of skills, working knowledge of practice/office routines, an understanding of the organization, programs, and terminology related to the physician practice/office. Reports to a Practice Manager.
Answer telephone and triage calls for the practice/office.
Schedule appointments via telephone or in-person and makes calls to confirm appointments.
Creates and inputs department/provider schedules.
May schedule/coordinate appointments with other areas of the hospital.
May perform a variety of administrative functions as directed by manager: prepare reimbursement requests, coordinate and schedule appointments, interviews, and/or meetings for physician(s) or care provider(s); exercises discretion and judgement to coordinate calendars for multiple individuals, care providers or groups.
Produce routine to complex documents, correspondence, reports utilizing multi-functional computer skills. May be required to transcribe information.
Complete other related job duties as required.
May develop, adjust and ensure implementation of operational procedures within the department, shifting work flow among support staff when necessary.
May participate in training of office staff.
Demonstrates knowledge of the age-related differences and needs of patients in appropriate, specific populations from neonate through adolescence and applies them to practice. Demonstrates cultural sensitivity in all interactions with patients/families.
Demonstrates support for the mission, values and goals of the organization through behaviors that are consistent with the CCMC STANDARDS.
