Under general supervision, coordinates and performs a variety of administrative, and/or operational support duties for a specified physician practice/office or clinical care center. Cross-trained in both front and back office job functions and fills-in for any position as directed by Office Manager. Creates and maintains spreadsheets; maintains databases and produces reports. Edits and proofreads documents to ensure accuracy. Duties require a range of skills, working knowledge of practice/office routines, an understanding of the organization, programs, and terminology related to the physician practice/office. Reports to a Practice Manager.

Answer telephone and triage calls for the practice/office. 

Schedule appointments via telephone or in-person and makes calls to confirm appointments. 

Creates and inputs department/provider schedules.

May schedule/coordinate appointments with other areas of the hospital.

May perform a variety of administrative functions as directed by manager: prepare reimbursement requests, coordinate and schedule appointments, interviews, and/or meetings for physician(s) or care provider(s); exercises discretion and judgement to coordinate calendars for multiple individuals, care providers or groups.

Produce routine to complex documents, correspondence, reports utilizing multi-functional computer skills. May be required to transcribe information.

Complete other related job duties as required.

May develop, adjust and ensure implementation of operational procedures within the department, shifting work flow among support staff when necessary.

May participate in training of office staff.

Demonstrates knowledge of the age-related differences and needs of patients in appropriate, specific populations from neonate through adolescence and applies them to practice. Demonstrates cultural sensitivity in all interactions with patients/families.

Demonstrates support for the mission, values and goals of the organization through behaviors that are consistent with the CCMC STANDARDS. 

Position Specific Role Responsibilities

Diabetes team specific roles:

  • Process CMN for sensors and pumps. 
  • Coordinate meetings with pump companies
  • Complete reimbursements for APRNs.
  • Meet with pharmaceutical representatives for samples and information on products. 
  • Schedule all insulin and saline starts with pump companies and families. 
  • Assist with processing Collins Medical CMN’s and provide current patient information. 
  • Update email list for new diabetic families. 
  • Assist social worker with events, i.e confirming event RSVPS. 
  • Complete prior authorizations for test strips
  • Assist with FMLA documents for families
  • Assist social worker with referrals for chronic Illness management programs.
  • Manage DM admin folder
  • Respond to all DM related direct pool messages 
  • Primary person in DM Prior Auth pool-triage messages to DM MGMT pool accordingly/as needed
  • Check on statuses of CGM and pump orders
  • Respond to emails from pump and CGM companies
  • Responsible for the doctor’s line 
  • Ordering front office supplies
  • Review CDE Schedules week in advance to catch any changes that need to be made- adding responsibility
  • Assist DM schedule changes
  • DM pod 
  • Schedule appointments/respond to pool messages 
  • Convert appointment to TH 
  • Assist with bump lists

EDUCATION/EXPERIENCE:

  • High School Diploma, GED, or a higher level of education that would require the completion of high school, is required. Associates Degree preferred with a minimum of 6 months – one year experience as a medical assistant/receptionist in a Physician Office, or equivalent.
  • EPIC or other EHR experience preferred
